Job Summary
The Executive Coordinator plays a pivotal role in supporting senior leadership by managing administrative tasks, facilitating communication, and coordinating organizational initiatives. This position requires a proactive individual who can effectively prioritize multiple responsibilities in a fast-paced environment. The role involves managing confidential information, liaising between departments, and providing strategic support to the Senior Leadership. Strong organizational skills, attention to detail, and the ability to exercise independent judgment are essential for success in this role.
Responsibilities and Duties
- Exercise Independent judgement in managing complex tasks and projects, ensuring alignment with organizational goals
This position provides administrative support to senior leaders of multiple areas by serving as a key liaison with internal & external stakeholders for the organization
Ability to maintain confidentiality will be critical for success in this role
Manage senior leader calendars, align meetings, schedule appointments, book travel and events, and handle expense reporting to optimize the time of supported leaders allowing them to achieve objectives
Screen and direct phone calls, emails, and correspondence appropriately
Draft responses, compose emails, or make calls on behalf of the executive
Arrange and coordinate meetings, including logistics, venue bookings, catering and technology needs for executive needs and organizational initiatives
Assist in the planning and execution of presentations, agendas, reports, special projects, and initiatives
Organize executive travel, including flights, accommodations, itineraries, contacts, and documents
Manage expense reporting, invoices, and budget tracking
Greet and host high-profile guests such as board members and government officials
Use judgement to prioritize competing requests for time/resources from various leaders
Qualifications and Skills
Bachelor's degree in business administration or related field plus two years of experience providing administrative support; OR
Associate degree in business or related field plus four years of experience providing administrative support. Additional years of relevant experience or education may substitute on a year-for-year basis.
Demonstrated ability to coordinate complex scheduling scenarios with individuals or groups outside the unit essential.
Requires excellent knowledge of computer software, including but not limited to word processing, spreadsheet, and email with calendar functions.
